Before a Hurricane: Prepare for a Possible Property Claim

 Florida homeowners spend a lot of time preparing their homes for hurricanes, but preparing your property documentation can also be valuable.

If your property suffers damage, having photographs, records and insurance information available from before the storm may make it easier to document what changed.

1. Photograph Your Property Before the Storm

 When a hurricane threatens Florida, safely photograph or video the condition of your property before severe weather arrives.

Consider documenting:

  • Roof from ground level 
  • Exterior walls 
  • Windows and doors 
  • Gutters 
  • Soffit and fascia 
  • Screen enclosures 
  • Fencing 
  • Garage doors 
  • Outdoor structures 
  • Interior rooms 
  • Ceilings 
  • Flooring 
  • Valuable personal property 

Do not climb onto your roof to take photographs.

Save these photographs somewhere you can access even if your phone or computer is damaged.

2. Save a Copy of Your Insurance Policy

 Keep a digital copy of your current property insurance policy.

Important documents may include your:

  • Declarations page 
  • Coverage information 
  • Hurricane deductible 
  • Other deductibles 
  • Endorsements 
  • Exclusions and limitations 
  • Duties after loss 
  • Insurance carrier contact information 

Your neighbor's insurance policy may be completely different from yours.

Coverage depends on your individual policy and circumstances of the loss.

3. Create a Home Inventory

 Photograph important belongings throughout your home.

You don't necessarily need an elaborate spreadsheet to get started.

Walk through each room and record video showing furniture, electronics, appliances, clothing and other significant personal property.

For expensive items, consider preserving receipts, serial numbers, model numbers or other available purchase documentation.

After the Hurricane: Put Safety First

 Never enter an unsafe structure simply to document an insurance claim.

Watch for:

  • Downed electrical lines 
  • Standing water near electricity 
  • Structural instability 
  • Damaged ceilings 
  • Broken glass 
  • Fallen trees 
  • Exposed electrical components 
  • Severely damaged roofing 

Call emergency services when appropriate.

Property can be replaced. Your safety cannot.

 Once conditions are safe, begin documenting the property.

Take both wide-angle photographs and detailed close-ups.

Don't rely on only five or ten photographs.

For significant damage, thorough documentation can help establish the condition of the property following the storm.

Keep a Hurricane Claim Timeline

 Create a simple timeline beginning with the storm.

Record:

Date of hurricane → Damage discovered → Claim reported → Emergency repairs → Insurance inspection → Estimates received → Carrier correspondence → Payments or coverage decisions

Also record important telephone conversations and keep copies of emails and letters.

This creates an organized history of the insurance claim.

Protect the Property From Additional Damage

 Depending on the circumstances and policy requirements, property owners may need to take reasonable steps to prevent additional damage.

This could involve temporary measures following the storm.

When safe and practical:

Photograph the damage before temporary work begins.

Then photograph the temporary repairs afterward.

Keep every:

  • Receipt 
  • Invoice 
  • Contract 
  • Estimate 
  • Photograph 
  • Emergency-service document 

Avoid unnecessarily discarding damaged materials or personal property before they have been appropriately documented.

Prepare for the Insurance Company's Inspection

 Organize your information before the carrier's adjuster arrives.

  • Relevant correspondence 

Show the adjuster the areas where you observed damage.

There is an important distinction homeowners should understand:

An insurance company adjuster represents the insurance carrier.

A public adjuster represents the policyholder.

Don't Look Only at the Insurance Check

 If the insurance company provides an estimate, review the actual document.

Look at what was included.

Compare the estimate with the documented conditions involving:

  • Roofing 
  • Exterior components 
  • Interior rooms 
  • Ceilings 
  • Walls 
  • Flooring 
  • Cabinetry 
  • Water damage 
  • Personal property 
  • Other affected areas 

A difference between estimates does not automatically mean additional insurance benefits are owed.

 If the insurance carrier denies some or all of your claim, obtain and preserve the written explanation.

A denial may involve questions concerning:

 Sometimes an insurance company accepts a claim but the property owner believes documented portions of the loss were omitted or evaluated differently.

Potential differences can involve:

Measurements • Quantities • Materials • Scope of repairs • Roof components • Exterior damage • Interior water damage • Contents

Review the carrier's estimate alongside your documentation.

If significant questions remain, consider obtaining professional assistance.
